Primary Function
The primary function of the Office Operations Coordinator for Graduate Enrollment Management is to manage the daily operational activities ensuring the department runs smoothly. The Operations Coordinator will work closely with the Director and Assistant Directors to optimize operational processes and workflows, and ensure that the department is meeting its goals in an efficient and effective manner. The Office Operations Coordinator assists in the supervision of six to eight graduate assistants.
Position Summary
This position provides administrative and operational support for the Graduate Enrollment Management team, administrative staff/faculty, and prospective students at Russell Sage College. Administrative support includes scheduling appointments, answering incoming calls, arranging staff/faculty meetings, working within operational budgets, recruitment event management, and working interdepartmentally to achieve institutional goals. The individual in this position will work within a dynamic, collaborative enrollment management environment and be an integral part of the enrollment team.
Responsibilities will include:
Provides support to Assistant Directors and Director on a daily basis to ensure completed applications are being submitted for review and admissions decisions are being made in a timely manner
Coordinates daily tasks/calendar for graduate assistants (application audits, event outreach, event coverage, etc.)
Creates and maintains reports from Salesforce
Manage events and event registration process
Assist in the hiring and training of new graduate assistants
Manages front desk operations including, but not limited to, responding to the graduate office email inbox, answering incoming phone calls, scheduling appointments for prospective students, entering inquiries into CRM
Manage internal event calendar to promote graduate events
Manages graduate admissions promotional materials/inventory and orders items as necessary
Budget document processing for graduate admission events
Manages office work orders through Jira to the Help Desk and Maintenance
Provide weekly operations/event reporting to Director of Graduate Enrollment Management
The estimated wage is $16.73 per hour for 37.5 hours per week for 52 weeks.
Job Requirements:
Bachelor's degree preferred
Computer skills - High level of computer literacy and proficiency in database management
Knowledge of Colleague and Salesforce a plus
Strong customer service skills, attention to detail, ability to operate in a high paced environment with a sense of urgency
Strong oral and written communication skills are required
Prior experience in a high volume office administration environment preferred
