Deschutes County Health Services supports over 400 staff in Behavioral and Public Health programs working to promote and protect the health and safety of the community in a broad variety of community based settings.
The Deschutes County Intellectual and Developmental Disabilities Program (IDD) is the Community Developmental Disabilities Program (CDDP) providing case management and other IDD-related services for Deschutes County. ABOUT THE JOB:
Deschutes County is accepting applications for a full-time Administrative Support Specialist in the Intellectual/Developmental Disabilities Program Division of the Health Services Department. The Specialist provides a critical administrative function to the oversight and coordination of applications for services and medical record requests. This position serves a vital role in working collaboratively with Eligibility Specialists as well as direct collaboration with the applicant and/or their family.
This position is primarily based in Redmond, though travel within Deschutes County may be required on occasion. This position may be eligible for some remote work as allowed by policy and approved by the supervisor.
Key Responsibilities:
Applies informed independent judgment to resolving problems, analyzing data and making determinations based on state and local policy.
Oversight and responsibility for all medical records requests.
Involvement in special projects and quality assurance.
Takes notes, tracks action items and works collaboratively to assess, report, communicate and address program metrics.
Provides administrative management of sensitive and confidential issues.
Adherence to and knowledge of ODDS Eligibility requirements and Intake Process.
Facilitating a person-centered application process with community members and community partners.
What You Will Bring:
Knowledge of or experience with:
Oregon’s Intellectual/Developmental Disabilities service delivery system.
Medical records requests.
Various computer programs including, but not limited to, Electronic Health Records (EHR) systems, Excel, Word, PowerPoint, etc.
Providing feedback to colleagues; excellent communication and interpersonal skills.
Courteous, professional and timely in working with the public, in person and over the telephone.
Application of ODDS guidelines, OARs and Transmittals as they relate to the application process.
Skill in:
Ability to work independently as well as in a team.
Recognize problems, define pertinent issues, and determine and propose effective solutions.
Strong time management skills, to include organization, prioritization, goal setting, planning and delegation.
Clear written and verbal communication.
Attention to detail and ability to decipher, apply and communicate rule language and instructional updates from state contractor.
Creating professional documents and correspondence with instructions.
Working in multiple databases, analyzing data and prioritizing multiple tasks, projects and demands.

Compensation
$4,366.86 to $5,851.99 per month for a 172.67 hour work month. Excellent County benefit package when eligible. This union-represented position is available immediately.

Minimum Qualifications
High school diploma or GED equivalent;
AND four (4) years of administrative support experience;
OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the essential functions of the job.
Preferred Qualifications:
Experience working with EHR (Electronic Health Records) or processing medical records requests.
Professional knowledge of Oregon’s Intellectual/Developmental Disabilities service delivery system.
Bilingual in English and Spanish.
Necessary Special Requirements
Driving is a requirement for this position. Possession of or ability to obtain a valid Oregon driver's license within 30 days of hire date. The employment offer will be contingent upon presentation of an acceptable and verifiable driver's license, pre-employment screening for criminal history, driving history, and controlled substances (NOTE: Positive test results for marijuana use may result in rescission of a contingent offer of employment). This screening must be completed with satisfactory findings in order for a formal offer of employment to be extended.
Must have dependable transportation and be able and willing to drive throughout Deschutes County in sometimes adverse weather conditions.
