Description

We are looking for a professional, welcoming, and bilingual (English/Spanish) Receptionist to join our team and be the first point of contact for our office. The Receptionist will be responsible for managing front desk operations, handling office administration, coordinating onsite events and catering, and providing applicant support. The ideal candidate is customer service-oriented, detail-focused, and thrives in a fast-paced environment.

Key Responsibilities

Front Desk & Guest Services

  • Greet and assist visitors, ensuring proper sign-in procedures and directing them appropriately.

  • Answer and route incoming calls to the appropriate departments.

  • Provide general information and assistance to guests, employees, and applicants.

  • Deliver exceptional customer service to all visitors and callers.

    Office Administration

  • Order and maintain office supplies, ensuring common areas are well-stocked and organized.

  • Receive, sort, and distribute mail and deliveries.

  • Support daily office operations and provide assistance to various departments as needed.

  • Manage vendor relationships and maintain proper inventories for office essentials such as coffee, water, and catering supplies.

    Event Coordination & Catering

  • Organize and coordinate onsite meetings, events, and celebrations.

  • Arrange catering and beverages for office functions and gatherings.

    Applicant & Hiring Support / HR Assistance

  • Provide application forms and guide applicants through the hiring process.

  • Answer general inquiries about job openings and company policies.

  • Assist hiring managers with interview scheduling and logistics.

  • Support document tracking, e-filing, and employee events as needed.

  • Manage parking permit assignments for employees and guests.

    Required Qualifications

  • Bilingual (English & Spanish) – required.

  • 3+ years of experience as a receptionist or in a similar customer-facing role.

  • Excellent verbal and written communication skills.

  • Strong organizational and multitasking abilities.

  • Proficiency in Microsoft Office (Outlook, Word, Excel) and experience using general office equipment.

  • Professional, welcoming demeanor with a strong customer service mindset.

  • Ability to handle confidential information with discretion.

    Preferred Qualifications

  • Experience in a corporate or office setting.

  • Familiarity with HR processes or applicant tracking systems is a plus.

    Hourly Range: $19 - $24
