About the role:

The Senior Administrative Assistant will support three members of the Leadership Team by performing high-level administrative work for the leaders. The role will navigate the executive calendars to support prioritization of business needs and travel planning; and will serve as a liaison with internal and external stakeholders while maintaining confidentiality.

  • Coordinate a variety of travel, meetings, and other calendar appointments, requiring interaction with both internal and external contacts.

  • Anticipate the executive’s needs and prepare required materials for conferences, meetings, calls, and various appointments.

  • Process all invoices to ensure timely and accurate payments.

  • Screen and draft internal and external correspondence, emails, memos, and reports.

  • Prepare and submit expense reports and reimbursements for three leaders.

  • Support the creation of executive presentations, communications and other documents by researching, compiling and organizing relevant data and information on a variety of business and technical topics.

  • Partner with the Executive Support team to ensure seamless scheduling and coordination of efforts, in support of Liquid I.V.’s Leadership Team.

  • Partner with the Executive Support team to oversee, create and manage Liquid I. V’s annual events and “in person” moments.

  • Represent the executive and exchange sensitive information with key company contacts and other external business constituents.

  • Maintain and track the department budgets.

  • Performs other duties and projects as assigned.

Qualifications:

The successful candidate will have the following qualifications:

  • 3-5 years’ professional experience in an administrative support role, supporting multiple senior leadership in unison.

  • Prior experience working in a start-up, or similar fast-paced environment.

  • High School diploma required, bachelor’s degree in business administration or related field preferred

  • Able to demonstrate considerable judgement and initiative to resolve problems and manage calendars.

  • Ability to maintain proprietary, trade secret and confidential information.

  • Thrives in a fast-paced environment.

  • Proactive, resourceful, efficient, energetic, and a genuine desire to work well with people.

  • Ability to effectively prioritize and multi-task under limited direction, and ability to shift priorities quickly while working under tight timelines

  • Strong organization and planning skills.

  • Strong knowledge of standard productivity software tools (e.g. MS Office suite, Teams)

  • Budgeting and basic finance knowledge.

  • Supreme communication (verbal & written) skills.

  • Positive attitude.

  • Strong attention to detail.

Work Environment:

  • This role is hybrid

The expected salary range for this position is $61,500 - $93,300 annually. The exact salary is determined by various factors including experience, skills, education, geographic location, internal company equity, and budget.
