Job Title: Procurement Specialist

Job Description

The Purchasing & Procurement Specialist is responsible for purchasing materials, supplies, components, and equipment efficiently, ensuring they meet the required quality standards and quantities. This role collaborates across all departments, including production, engineering, accounting, shipping, and human resources, working closely with the General Manager to ensure organizational efficiency. Additionally, the role supports the production team by coordinating with the Inventory & Receivables team to ensure material availability and order allocations. The specialist also assists the General Manager with planning, distribution, and processing to achieve customer satisfaction.

Responsibilities

  • Identify potential risk items and purchase in appropriate quantities using current inventory counts, previous usage, departmental projections, lead times, and costs.

  • Conduct item research and gather necessary information, documentation, and materials.

  • Place order requests for raw materials, items, and services needed for each department, building, office, and breakroom supplies.

  • Create and submit purchase orders for all approved order requests, including drop shipments, and maintain accurate records of quotes and purchase orders.

  • Manage ongoing orders, coordinate with vendors to ensure timely product shipment and service completion, and handle payment processes as needed.

  • Oversee weekly inventory counts, review for accuracy, and regularly update stock levels in the company’s inventory application.

  • Manage inventory levels with other departments to ensure proper stock rotation and appropriate range levels.

  • Maintain and update inventory application items, including creating new items and modifying descriptions, locations, categories, pricing, and vendor information.

  • Collaborate with other departments to ensure proper organization and labeling of inventory, and reorganize as needed.

  • Submit new vendor requests for approval and update and maintain accurate vendor information in required system applications.

  • Monitor and document vendor performance related to delivery, costs, and quality.

  • Maintain vendor relations, communicate ongoing needs, usage forecasts, and acquire necessary quotes and documentation for items and services.

  • Monitor all imports and incoming domestic shipments, ensure accurate information and delivery, and file claims as needed.

  • Receive delivered items promptly and maintain accurate records, including putting away inventory and general items.

  • Audit and review shipping documents, shipping labels, and outer packing labels for every outgoing shipment of finished products.

  • Assist with audits, prepare documentation, update procedures, generate reports, and maintain accurate records.

  • Support compliance with regulatory rules and requirements, including documentation and record-keeping.

  • Frequently collaborate with internal and international departments.

  • Be on call for support as needed.

  • Follow all company policies, procedures, and safety rules, and wear Personal Protective Equipment (PPE) as required.

  • Maintain a clean work area.

  • Ensure regular and satisfactory attendance.

  • Suggest improvements to increase yields or reduce operating costs.

  • Build and maintain result-based working relationships with Engineering, Maintenance, Shipping, Accounting, Human Resources, and other applicable positions.

  • Work with Quality Assurance personnel to assist in ISOS9000/140001 audits.

Essential Skills

  • 3-5+ years of experience in Purchasing/Procurement in manufacturing is required.

  • Experience with purchasing software.

  • Flexibility to work alternative hours due to time zone differences.

Additional Skills & Qualifications

  • MS Dynamics 365 experience preferred.

  • Bachelor’s Degree preferred.

  • Experience in Project Management, Procurement Analysis, Strategic Sourcing, and Vendor Management.

Work Environment

This position is in-person with a schedule of Monday to Friday, 8:00 AM – 5:00 PM with flexible start times within reason.

Pay and Benefits

The pay range for this position is $25.00 - $35.00/hr.
