Job Title: Procurement Specialist
Job Description
The Purchasing & Procurement Specialist is responsible for efficiently purchasing materials, supplies, components, and equipment in the proper quantity and quality standards. This role collaborates across all departments, including production, engineering, accounting, shipping, and human resources, to ensure organizational efficiency. Additionally, the specialist supports the production team by working with the Inventory & Receivables team to ensure material availability and order allocations. This versatile role assists with overall planning, distribution, and processing to ensure customer satisfaction.
Responsibilities
Identify potential risk items using current inventory counts, previous usage, department projections, lead times, and costs. Purchase in quantities that align with proper stock rotation and department needs.
Conduct item research and gather necessary information, documentation, and materials.
Place order requests for raw materials, items, and services needed for each department, as well as building, office, and breakroom supplies.
Create and submit purchase orders for all approved order requests, including drop shipments, and maintain accurate records of quotes and purchase orders.
Manage ongoing orders, coordinate with vendors to ensure timely product shipments and service completions, and handle payment arrangements as necessary.
Oversee weekly inventory counts, review for accuracy, and regularly update stock levels in the company's inventory application.
Manage inventory levels in conjunction with other departments, ensuring proper stock rotation and maintaining appropriate levels.
Maintain and update items in the company's inventory application, including creating new items, modifying descriptions, locations, categories, pricing, and vendor information as needed.
Collaborate with other departments to ensure organized and labeled inventory, making improvements as needed.
Submit new vendor requests for approval and maintain accurate vendor information in all required system applications.
Monitor and document vendor performance related to delivery, costs, and quality.
Maintain ongoing communication with vendors, discussing needs, usage, forecasts, item alternatives, and acquiring necessary quotes and documentation.
Monitor all imports and incoming domestic shipments to ensure accurate information and timely delivery, keeping records and filing claims as needed.
Receive delivered items promptly and ensure accurate records, organizing and putting away inventory as needed.
Audit and review shipping documents, labels, and packing labels for outgoing shipments.
Assist with audits, preparing documentation, updating procedures, generating reports, and maintaining accurate records.
Support various projects and administrative tasks as needed.
Ensure compliance with all regulatory rules and requirements, including documentation and record keeping.
Collaborate frequently with internal and international departments.
Provide on-call support as needed.
Follow all company policies, procedures, and safety rules, including wearing Personal Protective Equipment (PPE) as required.
Maintain a clean work area.
Ensure regular and satisfactory attendance.
Suggest improvements to increase yields or reduce operating costs.
Build and maintain effective working relationships with Engineering, Maintenance, Shipping, Accounting, Human Resources, and other relevant positions.
Work with Quality Assurance personnel to assist in ISO9000/14001 audits.
Essential Skills
3-5+ years of purchasing/procurement experience in manufacturing
Experience with purchasing software
Flexibility to work across different time zones, potentially including weekends or alternative hours
Additional Skills & Qualifications
MS Dynamics 365 experience preferred
Bachelor’s Degree preferred
Experience in project management, procurement analysis, strategic sourcing, and vendor management
Pay and Benefits
The pay range for this position is $25.00 - $35.00/hr.
