Job Summary and Qualifications
The Department Coordinator is a dedicated supportive leader who can coach and motivate department staff in the performance of their assigned duties. The Department Coordinator will assist in the hiring of employees, and onboarding processes ensuring that every staff member is well prepared. The Department Coordinator will continue to support staff after training by monitoring their progress, answering their questions, and providing ongoing inspiration. The Department Coordinator must be supportive and prepared to act a resource to staff and the Department Manager. The Department Coordinator may be called upon to support the duties of the Telecommunication Specialist as needed. The Department Coordinator will work closely with all departments to assure an exceptional experience. The Department Coordinator should be focused on helping the team build the necessary skills and knowledge so they can better support incoming callers, every hospital department and all hospital staff.
Under the general direction of the Executive Director of Support Services and the oversight of the Manager of Attendant Services, within established Catholic Medical Center and departmental policies and procedures, the Department Coordinator performs the following functions:
Assist in the process of hiring, onboarding and training of staff.
Prepares reports for Department Manager.
Assist the Department Manager coordinating team meetings. Prepares and distributes meeting minutes.
Coordinates the receiving and distribution of patient phones, pagers and other communication devices.
Assists the Mail Room with routing patient mail.
Administers the Spok Console Suite application database.
Assist the Department Manager is developing work schedules to ensure sufficient coverage.
Coordinates the ordering and/or return of supplies
Assist the Department Manager with supply budgets for approval.
Proactively provide suggestions for improving the Telecommunication Office’s capabilities to enhance service delivery.
Provide a supportive, positive work environment that fosters teamwork.
Attends organizational meetings as directed by the Department Manager. Relays essential information to appropriate staff in a timely manner as directed.
Delegates tasks as appropriate.
Performs other duties or assignments as assigned by the Manager of their designee.
What qualifications you will need:
Education:
High school diploma or GED preferred.
Associates Degree in health science or business preferred.
Experience:
Hospital communications / Call Center experience required.
Healthcare experience preferred.
Experience in business or health care setting involving customer-service responsibilities; familiarity with health care setting and broad knowledge base of functions of various health care departments preferred.
Basic operation of computer systems, telephone systems, Windows OS, and MS Office.
