Description
The Administration and Finance Manager is responsible for overseeing the financial management and day-to-day operational activities of the Marina del Rey Tourism Board (MdRTB). A key component of this position is ensuring that the timing of payments aligns with the organization’s financial goals and budget. This role includes tracking, forecasting, and managing expenses, payments, and revenue to ensure that the organization stays within budget. The Finance and Operations Manager will work closely with the CEO and will oversee the day-to-day operations of the office, including ordering supplies, providing administrative support, and maintaining files and records. This individual offers occasional support at company or community events and works collaboratively with board members and stakeholders.
Requirements
Administrative experience, experience in an executive-level administrative role.
Proven experience managing financial operations, including expense tracking, budgeting, and financial forecasting.
Strong proficiency in accounting software, specifically QuickBooks Online.
Experience in a small office environment required multi-tasking, initiative, and the ability to work independently.
Must have excellent communication skills, both verbal and written, without using the assistance of artificial intelligence.
Ability to analyze financial situations and adopt appropriate solutions to ensure the organization stays on budget and meets financial goals.
Highly proficient in Microsoft Office Suite (Excel, Word, Outlook), Google Sheets, and CRM platforms. Basic knowledge of Adobe Software and database systems is preferred.
Must have strong knowledge of running and setting up virtual meetings and teleconferencing calls. (i.e., Zoom, Microsoft Teams, Owl).
Ability to work under pressure, manage competing priorities, and adapt to changing business needs.
Must be detail-oriented, highly organized, with strong problem-solving skills and the ability to work effectively under tight deadlines.
Warm, friendly, and supportive attitude; ability to represent the organization professionally.
Exceptional business ethics and work attendance record.
Must possess reasonable mobility and have access to a personal vehicle, with a valid driver’s license and auto insurance.
· Ability to accept feedback and work calmly and effectively in occasionally stressful situations.
· Make frequent repetitive hand movements associated with computer use, occasionally lift objects up to 40 pounds.
· Eagerness to learn about the community and surrounding areas.
