Job Description Summary

Cushman & Wakefield is seeking a dynamic and motivated Assistant Property Manager to join our team and manage an iconic New York City asset. This exciting opportunity is for a new account located in a landmark building that spans over 1 million square feet. The Assistant Property Manager will play a crucial role in supporting the day-to-day operations of this prestigious property, with a focus on repairs, maintenance, and managing small to mid-size projects. The Assistant Property Manager will ensure a high level of professionalism and foster positive relationships with tenants and clients.

Job Description

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

· Assist Management Team with regular property walks and preparation of facility inspections.

· Follow up with vendors to confirm timely completion of periodic scope of work items.

· Monitor tenant work orders and follow-up with appropriate service providers to fulfil requests.

· Track outstanding tenant and building violations.

· Assist with miscellaneous administrative tasks in absence of Tenant Services Coordinator including ordering supplies, scheduling meetings, preparing conference rooms.

· Prepare and coordinate bid proposals and service contracts.

· Develop and manage project timelines, ensuring all phases are completed on time and within budget.

· Oversee construction activities, ensuring quality control and adherence to project specifications.

· Manage capital expenditure budgets and track project costs.

· Coordinate tenants move ins and move outs, including furniture delivery and pick up.

· Ensure Certificates of Insurance for tenants and vendors are up to date.

· Oversee the processing of management and maintenance staff hours, expense reports, check requests for review and approval.

· Ensure that above standard tenant bill-backs for electrical usage, after hours HVAC, and other similar charges are processed in a timely manner.

· Assist General Manager with aspects of annual budgets preparation and monthly financial reports, as well as preparation of bank deposits if processed at on site management office.

· Participates in performance oversight of all service contractors who perform contract services.

· Assist in lease administration activities, including abstracting leases and keeping our database current.

· Obtain aging report for management and follow up on all delinquencies, utilizing C&W or client-directed policies.

· Ensure invoices are processed in accounting with appropriate back-up and according to established procedures.

IMPORTANT EDUCATION

Bachelor’s Degree Required

IMPORTANT EXPERIENCE

  • 2 + years general work experience is Required

  • Experience in Facilities/Project/Property Management is Preferred

ADDITIONAL ELIGIBILITY QUALIFICATIONS

  • Strong knowledge of property management principles, financial management, and budgeting

  • Excellent leadership, communication, and interpersonal skills

  • Ability to work effectively in a fast-paced, dynamic environment

  • Project coordination experience; tenant/vendor management and scheduling

Annual Salary

$75,000 - $95,000 with discretionary bonus

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Regularly required to travel outside between properties in varying weather conditions.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee may need to stand and walk for extended or continuous periods of time. They must be able to ascend and descend staircases, ladders, and/or step stools and may be required to travel outside between buildings in varying outdoor weather conditions. The employee may also be regularly required to remain in a stationary position (sit or stand) for 85% of the time; regularly operate office machinery.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $17.00 - $45.670076
