Job Title: Operations Scheduling Analyst
Job Description
The Facilities Infrastructure, Safety & Security division is seeking to add an experienced Workforce Operations Scheduling Analyst. In this role, you will manage complex schedules and timekeeping of 150 security officers in the Security department across multiple locations. Delivering ongoing analysis, scheduling, timekeeping services, managing compliance, reporting, working closely with department heads and stakeholders to make recommendations to improve workforce operations.
Responsibilities
Analyze, plan and manage complex schedules for 150 security officers across multiple locations.
Develop and manage department/unit schedules, performing regular needs assessments with department/unit leadership, including schedule balancing.
Manage timekeeping for personnel worked hours and run necessary reports, ensuring accurate data entry of staff activity per shift and adjusting activity or pay codes as needed.
Handle scheduling needs in accordance with leave of absence (LOA, FMLA, or Worker’s Compensation) requirements and regulations.
Maintain daily review, updating, and data entry of assigned personnel timecards through the electronic timekeeping system to ensure up-to-date financial/payroll reporting.
Analyze and generate various reports for department/unit management teams for coaching, counseling, and/or disciplinary reasons per policy and regulatory procedures.
Facilitate and coordinate scheduling processes for assigned departments/units to ensure appropriate staffing levels are achieved, maintained, and forecasted.
Plan, coordinate, and participate in the performance of varied and responsible work in the administration, project administration, and operation of specialized programs or projects.
Provide complex project administrative support and technical assistance to managerial staff, including reconciliation and monitoring, report preparation, and conducting preliminary analyses.
Manage and update position control and personnel skills data with department/unit leadership for forecasting staffing/scheduling needs.
Serve as a consultant to leadership in developing staffing patterns, creating flexible scheduling alternatives, and arranging for extended employee absence.
Work closely with department heads and stakeholders to improve scheduling and coverage across multiple building locations.
Ability to own and lead workforce planning and management for the security department.
Essential Skills
Proficiency in Excel, including pivot tables and x-lookups.
3-5+ years of experience performing as a Scheduling Analyst with a strong background in operations.
Strong understanding of workforce planning and operations.
Experience in complex staff schedule management, schedule planning, and scheduling coordination.
Supporting healthcare operations.
Knowledge of scheduling and timekeeping systems, policies, and procedures.
Strong organizational skills and attention to detail.
Ability to analyze data and generate reports.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
Experience working with department heads and stakeholders on workforce planning and improvement efforts.
Work Environment:
100% ONSITE Monday-Friday 8am-5pm in Newark, CA.
Pay and Benefits
The pay range for this position is $42.49 - $55.24/hr.
