Administrative Assistant

Our Administrative Coordinator is responsible for assisting Sales (Family Service Advisors) with the fulfillment and placement of a family’s memorialization product - order, track, receive, inspect, administer, and report on all Memorialization contracts. As our Administrative  Coordinator, you will lead by example the CFCS’ Core Values–Share the Journey, Serve with Care, and Make It Happen–in your interactions with families, staff, and vendors.

Benefits

  • Hourly: $21 - $23

  • 40hrs: Monday – Friday

    Responsibilities

  • Performing day-to-day administrative duties as required

  • Answering phones and helping customers and vendors

  • Accurate data entry in multiple IT systems, including web-based programs

  • Create and maintain various Excel spreadsheets, keep accurate records

  • Receive/prepare orders for monument engraving and installation

  • Receive/prepare orders for crypt/niche door inscriptions, vases, emblems, and photoceramics

  • Complete work orders for the installation of the memorial

  • Verify with the Family Environment Specialist on a date for completion

  • Notify Family Service Advisors when installations are complete

  • Photograph the memorialization and file it with the memorialization documentation

    Qualifications

  • 1-3 years of experience in an administrative role

  • Good computer skills

  • Great organizational skills and ability to multitask

  • College degree a plus

  • Interest working in a Catholic environment, all backgrounds welcome to apply 

  • Knowledge of the Catholic faith, rituals, and traditions

  • Understanding the Order of Christian Funerals  and “Family First” approach

  • Experience with multiple purchase orders with multiple delivery timelines

  • Understanding of quality inspection and product specification verification

    Requirements

  • Valid Driver’s License

  • Verify full payment is made for the memorialization before placing orders

  • Place orders with vendor, maintain documentation and records management

  • Prepare and update Memorialization Tracking Log

  • Perform tasks directed by the Location Manager

  • Positive and supportive attitude toward the Catholic Church

  • Possess a high level of compassion, integrity, and professionalism

  • Must be detail oriented and preform duties in a timely and accurate manner ​
