Leidos Executive Administrative Assistant in Reston, Virginia

Description

The Leidos Defense Systems Sector is seeking an Executive Administrative Assistant to work onsite at our Corporate Headquarters in Reston, VA providing administrative support to the Sector Senior Vice Presidents of Technology and Growth and provide surge support within the Sector senior leadership team.

This position requires an experienced person with demonstrated office management expertise, superior professional demeanor, and the ability to learn and accomplish a wide variety of day-to-day responsibilities in a fast-paced environment all while ensuring the success of the operation.

Primary Responsibilities:

  • Communicate effectively with internal and external customers in writing, on the phone, and in person.

  • Maintain, manage, and resolve conflicts on multiple heavy calendars with the ability to problem solve and adjust schedules based on priorities.

  • Schedule internal and external meetings, conferences, determine meeting logistics, order catering, reserve conference rooms, escort visitors, and secure A/V assistance.

  • Interact with executives’ constituents to develop relationships at all levels to facilitate communications and schedules.

  • Prepare detailed travel arrangements, ensuring details are reflected on the calendar; assemble itineraries/logistics, tracking travel to assist with any changes that occur in route; quickly respond to changing priorities; and research travel options to promote savings opportunities. Prepare expense reports for submission.

  • Schedule interviews, onboard new employees, acquire office space, order business cards and smart phones

  • Handle confidential business matters

  • Compile and consolidate data from various sources into meaningful documents/reports that will be utilized by key divisional decision makers.

  • Assist other sector leadership team members as needed with administrative tasks, including correspondence, scanning documents, coordinating travel arrangements, securing visitor office space, and shipping materials.

Basic Qualifications:

  • High School Diploma or higher with 3+ years of related experience.

  • Must be able to provide in person support 4-5 days/week.

  • Must present a positive and personable demeanor with an ability to interact and relate well with both external and internal contacts at all levels, up to and including Executives and customers.

  • Must be able to work effectively with key administrative personnel across the enterprise.

  • Strong written and verbal communication skills, sound decision-making and prioritization ability, and attention to detail are critical.

  • Must have excellent organization and calendar management skills including the ability to coordinate complex executive meetings, travel, document management, as well as a mastery of Microsoft Outlook.

  • Proficiency in Microsoft Word, Excel and PowerPoint required.

  • Demonstrated ability to work on multiple projects simultaneously with a commitment to completion of projects on a timely basis.

  • Must have strong problem-solving skills with an ability to diagnose and resolve complex issues.

Pay Range:

Pay Range $55,250.00 - $99,875.00
