Summary: The General Manager oversees the association management functions, rental operations, amenities center, and daily maintenance operations for managed Storm Meadows neighborhood properties.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

General Items:

Directly supervise an operation administrative assistant and a maintenance supervisor, who in turn oversees the on-site maintenance department.

Recruits quality managers/employees, trains, and actively participate in planning, assigning, and directing work; appraising performance; addressing and resolving problems in a timely manner.

Assures staff accountability through adherence to management company policies and established operating and safety procedures.

Establishes and maintains regular weekday business office hours to enable proper owner service and communications and to provide oversight of managed staff.

Adheres to company requirements related to the posting of invoices, work orders, and other payment related items to ensure prompt and accurate billing. Reviews the coding of all operations-related invoices to company or HOA general ledger accounts.

Ensures the department performs within budgeted financial guidelines. Will participate in creating annual budgets for the department’s company budget and for managed associations.

Maintains a good driving record to the satisfaction of our insurance company, to drive for company business.

Association Management Items:

Installs processes and procedures to ensure the good condition of the managed properties and safety of employees, homeowners, and guests.

Ensures that all property common areas are in acceptable condition, directs preventative maintenance or repairs necessary with staff, suggests improvements to Board for future capital reserve projects to be presented at association board meetings.

Assists in completing the following accounting functions: preparation of budgets, validating postings against budgetary line items, and financial statement preparation, including personal review of all work orders for accuracy and variances that may need adjustment.

Monitors and stays informed regarding the operations and current issues of the associations.

Maintains consistent communication and relations with the board President and other members of the board.

Prepares and executes Association meetings as directed by the HOA boards. Chairs meetings when requested.

Oversee staff or directly perform updating and maintaining association records and websites regarding reports, minutes, declarations, articles of incorporation, by-laws, and rules and regulations.

Educates property owners about insurance requirements, the declarations, articles of incorporation, by-laws, and rules and regulations of their particular property.

Enforcement of Rules & Regulations established by the association boards.

Rental Program Items:

Monitors completion of repairs in individual rental units. Coordinate with the maintenance department regarding the status of repairs and keep the owner and reservations team (if applicable) informed throughout the process.

Coordinates with operations administrative assistant and other rental division managers to maintain routine communication with homeowners and rental program partners.

Maintenance Department Items:

Responsible for overseeing, with help from the department manager, the day-to-day operations of the on-site maintenance department as they relate to the association properties and the Resort Group rental operations for managed properties.

Provides support to the maintenance department with project management for upkeep maintenance, alterations, and capital improvement projects. Arranges necessary contractors, monitors and reports on progress, addresses problems in quality or safety, inspects project for final release, coordinates with appropriate departments.

Directly or indirectly employs or contracts for services of security, maintenance, and grounds keeping personnel and onsite caretaking personnel if required.

Oversee the setup, management, organization, staff hiring, training, and scheduling of onsite maintenance staff. Assist with initial training and orientation for new staff, as well as ongoing training.
